How to choose a booking engine for a hotel website
The booking engine is the part of a hotel website that actually takes the money. Here is what to compare before you sign up, and how to connect it so guests do not feel they have left your site.
Booking engine, channel manager, PMS: who does what
- PMS (property management system) — the hotel's main system: rooms, reservations, guests, check-in and billing.
- Channel manager — keeps availability and rates in sync across Booking.com, Expedia and other OTAs, so a room is never sold twice.
- Booking engine — the booking module on your own website: search, rates, guest details and payment.
Many providers sell all three together. What matters is that availability and rates come from one place and are never entered by hand on the website.
What to compare
- Integration with your PMS and channel manager. Two-way and real-time, with no manual updates.
- Integration options for the website. A search widget you can place on any page, deep links to a specific room and dates, and ideally an API.
- Look and feel. Can the booking pages be styled to match your website, or at least not look like a different company?
- Mobile booking flow. Test it yourself on a phone: count the steps and the seconds.
- Rates and packages. Flexible and non-refundable rates, meal plans, minimum stay, promo codes, packages and add-ons.
- Payments. Supported payment providers, cards, Apple Pay and Google Pay, deposits and pre-authorisation, strong customer authentication.
- Languages and currencies for the guests you actually get.
- Metasearch. Whether your direct rates can appear in Google Hotels and similar channels.
- Pricing model. Monthly fee, commission per booking or both — calculate it on your real volume.
Widget or API?
A widget is the fastest option: the provider's search form and booking pages are embedded into your website. That is how our hotel projects in Lviv and Kyiv work with TravelLine — the search form by dates, guests and promo code is built into every page of the site.
Custom forms on top of the booking engine go further: your own booking forms on room pages pass the dates and the room straight into the engine. We did this with Rooms Wizard for Hotel Ukraine, so the guest starts booking right on the room page.
A full API integration brings live availability and prices into your own pages. It gives the most control and costs the most; it makes sense for hotel groups and complex offers.
Questions to ask the provider
- Which PMS and channel managers do you integrate with, and how?
- Can we link directly to a room, rate and dates?
- Who handles payment security and card data?
- Which analytics and conversion tracking are supported?
- How do we leave, and can we export our bookings and guest data?
